List building from LinkedIn to HubSpot

Build a HubSpot prospect list from LinkedIn without a stale CSV as the default. Capture as you prospect, dedup on email, phone, or LinkedIn URL, and keep HubSpot as the system of record.

To build a prospect list from LinkedIn into HubSpot, put people on standard Contact records as you find them, then dedup before the pile doubles. The default for a seller who lives in the feed is in-feed capture: one click per profile, enrichment on save, HubSpot updated when the block ends. CSV import is the batch tool for a planned sprint, not the daily driver.

LinkedIn will not hand you a clean "export my network" button on most accounts. Sales Navigator and Recruiter expose limited export on eligible plans. Everything else is copy-paste, a third-party capture path, or a spreadsheet you already cleaned.

Two list-building motions (pick on purpose)

Capture as you go. You are on a LinkedIn or Sales Navigator profile. You capture. HubSpot gets a Contact or an update, and Company data lands on the matching Company object when capture writes both. Verified email and mobile can land on the same click. Optional auto-sync logs the DM thread later. This is how you build a list without a Friday paste session.

Batch sprint. You have a file (Navigator export, event attendees, a list that originated on LinkedIn). You clean columns, import via HubSpot Contacts, map fields, dedup. One session can create hundreds of records. The file is stale when it leaves LinkedIn. There is no conversation history. Re-importing the same people without a unique key creates merge work.

Most teams need both across a quarter. Mixing them without a rule is how you get three records for one VP.

Automation (Zapier, Make, n8n) sits next to batch: a sheet or webhook creates HubSpot contacts. Fine when the source is stable. Fragile when LinkedIn fields or HubSpot properties change. It does not capture the live profile in front of you.

How to build the list

  1. Pick capture-as-you-go or a true batch sprint. If you will add these people while you prospect this week, capture. If RevOps owns a one-off file, import. Do not CSV your afternoon inbox.
  2. Capture or import into HubSpot. From the profile: one click for name, title, company, owner, lifecycle stage. From a file: Contacts, then Import, then map to standard properties. Prefer the profile you are on.
  3. Dedup on email, phone, or LinkedIn URL. Those are the identifiers that survive title changes. SurroundR matches them on capture so an existing record updates. On import, map a LinkedIn URL column if you have one. Email-only dedup fails when the file has no emails yet.

That is enough process. Padding a list-building page with a second methods table would cannibalize the guide. Dedup is the list

A LinkedIn list is a buying committee you will meet twice. Account pages, Navigator lead lists, colleague shares, and a conference CSV will overlap.

Finish the list in CRM, not in a tab graveyard

Capture the people you will work, not the entire search result. A HubSpot list you will actually message is smaller than a Navigator lead list you screenshot for later.
